Thank you to all that were able to attend our Magrath Lions Chirstmas dinner event. Sorry to miss any of you that were under the weather or having to work that night. A lovely meal was provided by Gwen Boylan and afterwards LCI Chevron Awards were presented to Lion Alex and Lion Laurie Ann, to Lion Shauna and to Lion Elizabeth from Lions HQ by guest of honor Kevin Gibbons (First Vice District Governor of District C-2 [1st VDG]). We were encouraged to attend the upcoming District C-2 8th annual District Conference in Drumheller, AB the weekend of Feb 3-4, 2023. BTW We agree there were at least 4 spirits in Christmas Carol movie ..

Dinner commenced at 7pm after welcome by Lion Alex and a blessing on food offered by Lion Elizabeth Olsen. Updated copies of the Club Fact Sheet v.2023 were available for review. We plan to circulate these throughout the town in coming year. Meeting concluded by 8:15pm. In attendance 1st VDG Lion Kevin Gibbons, 2nd VDG Lion Glen Garalde and travelling companions Lion Raquel and Lion Leslie, Club President Lion Alex White, Lions Elizabeth, Roger, Shauna, Larry, plus invited guests from community. Thank you again to all for attending with us! Next meeting will be in 2023 (4th Thu in Jan).

Jan 2019 Meeting

1/1/2019

Minutes of Club Meeting Wed 23 Jan 2019 at home of Lion Roger/Shauna.

In attendance: Lion Club President Alex White, Guest Larry Murray and Lions Roger/Shauna Davies, Deanna Friday, Kelly Strey, Lawrence Papworth, Elizabeth Olsen. Blys did not attend as Lion Christine sick. Lion Mike out of town at work. Lion Laurie Ann attending another meeting across town. Lion Catherine also did not attend.

  1. Minutes from last meeting not available (Nov 2018 see Lion Christine). Dec 2018 was to be Dinner meeting in Lethbridge but it had to be unscheduled. Lion Roger will attempt to take notes for current meeting ..
  2. Lion Alex reported on status of work on Lions Playground. Town Foreman W Quinton has list of items needing updates and working on getting quotes for needed gravel etc. He wants to meet with us at next club meeting (Feb 2019).
  3. Lion Roger reported on upcoming Community Food Drive plans. Over past several years have relied on Calvin Heggie of Custom Windows with many thanks for transportation of the 6-10K pounds of donated food from Magrath to Lethbridge in his truck/trailer. He is now facing some serious health issues and we likely need to find alternative helpers at least for this year. Lion Alex will approach others to see if they can step in (eg V Torkelson, or others). Otherwise, project plans are as in past years. We will order bags via Magrath Pharmacy and print prepared flyers via Keyline. Lion Roger will prepare and coordinate via website. Confirmed date for event this year is Sat 27 Apr 2019.
  4. Discussed date and plans for Lions Garage Sale in Spring 2019. Sat 1 Jun 2019 proposed with collections throughout May 2019. Lion Alex suggested we find a way to run the event longer than just the Sat morning. Although it might be nice to give people more time to shop, need to check with W Quinton re availability and logistics. We used Home Hardware last year for collection storage. OK to approach Jay Mackenzie to see if he is still willing to do this again this year (note some construction underway in 2nd Floor of that building).  Last year event raised about $1600 but a lot of volunteer work was required for collection, storage, moving and setup, then running the event and cleanup afterwards. Lion Roger to update website project page. It was proposed we prepare printed posters and do more advertising to ensure event is easily remembered this year.
  5. Lending Library project proposed in past by Lion Catherine. Lion Roger proposed we consider sponsorship of event rather than just doing it as a club. He wants to make his own and thinks others will want to do their own as well. Club could prepare contest parameters and provide a prize or award for those participating. Discuss at future meetings
  6. Santa Gone Loonie project discussed. Would be nice to have this event available in Magrath but considered too big for a club of our current size. Lion Roger suggested we participate as part of community committee for this event. Suggested we approach past organisers S Robinson, K West, etc to gauge interest and needs.
  7. Lion Lawrence reported on status of Casino application. Needed current member list, a current year budget report and past 2 year financial reports (provided after meeting by Lion Roger) as well as copy of minutes where ok to proceed with application was given. See Lion Christine for those meeting minutes (Fall 2018). Proposed we re-confirm that we want to proceed with the Casino application in this meeting as well. Approved
  8. Lion Roger provided updated financial report to Pres Alex. Note this report online at https://docs.google.com/spreadsheets/d/1WYrLKYdWqQ6gCMSlt3nLeB8dNlCi-27ojakXqxQzQzk/edit?usp=sharing Link to Magrath Lions Financials - Lion Roger. Updated notes page with current financial issues to discuss. Google Docs Lions 2018-19 Reports Summary Income Expense
  9. Motion to adjourn at 8pm by Lion Shauna

p.s. deferred/future items
  • Nov 2018 - Status of Casino Acct vs Playground Upgrade. Per meeting decisions in 2018 the club proceeded with selection and purchase of Blue Imp equipment for Terry Trainer Playground at fishpond. Subsequent meetings with Town Foreman W Quinton indicated town would rather use this in the older Lions Park Playground and focus improvements there to meet new safety and insurance requirements. Club agreed to proceed that way in Spring 2019    plan
  • Jan 2019 - FYI Revised budget item for dues payable from 750 to 1000. With current exchange rates and since we have not raised our annual fee request ($75/person $112.5/couple CAD), we are currently losing money on exchange re LCI bi-annual dues payable in US Funds. There are also some addl bank fees in using Paypal to collect and disperse funds online. This year we appear to be about $310 CAD short or over $25 per person. To discuss with executive .. we have little control over US/CAD exchange rates    discuss
  • Jan 2019 - Propose: we consider new schedule of $99/person or $149/couple CAD for 2019/20 and on unless exchange rates improve. Only other alternative is to have club subsidize the difference from fundraiser events in years when rates are unfavorable (grey area) ..    propose
  • Jan 2019 - Casino Appl being worked on by Lion Lawrence. Lion Roger provided him more info to him at 23 Jan 2019 meeting (past 2 year financials and current membership lists. He may also need a copy of official minutes for meeting (about Fall 2018 from Lion Christine) where club agreed to proceed with Casino and updated club brochure. /rdd    work in process
  • 2019 -  Funds for MES Lunch Program $500 and to Community Nativity Display $300 could come from Casino funds. Propose transfer $800 from Casino to Savings to offset checks we wrote in Dec 2018    propose
  • addendum to meeting minutes: Next meeting will be Wed 27 Feb 2018 7pm at the Davies (161 W 2nd Ave S Magrath, AB T0K 1J0 403-388-4332) with DG and IPDG (Cathy Anderson) planning to attend as well. Town foreman also asked us if he could attend that meeting as well. /rdd
  • Also Lion Alex/Christine, don't forget: When printed member list from LCI website for Lion Lawrence had to manually fix two errors. Corrections needed to membership data names: a) Lion Glen Bly's file has been renamed to Mike Duff somehow and b) Lion Mike Duff's file shows 'Mr Irene Rennie'  as his name. Hmm. Perhaps we need to have our DG visitors tell us how to get this corrected at LCI .. Lion Christine: I’ve tried several times to correct that.  I’ve even emailed them.  If only one could speak to a human to correct ‘computer errors’. ssdirect: Yeah, that is why the DG may need to provide some direction on this ..
  • ssdirect: Update .. paid LCI dues due online today (24 Jan) and mailed check for district c-2 dues as well

  3. Motion: Propose Catherine Cai, Kelly Strey, Mike Dunn as new Lions members effective now with Lion sponsors as Elizabeth Olsen, Christine Bly, Glen Bly. We propose an official induction ceremony to be held at our next dinner meeting in September - perhaps at Golf Course to welcome new members. Lion Roger to get membership applications to each new member.

  4. Despite being initially approached by Town of Magrath (Fernando), we may not need to judge parade at upcoming Magrath Days as he subsequently has asked the Chamber of Commerce to handle this in our stead. We are available to stand in or assist if needed.

  5. Lion Alex talked to Barbara from Blue Imp yesterday and she stated that the equipment should be here 12 Aug to be set up. What are we doing to keeps costs down?  A rep will be here to ensure safety standards are met during set up. Equipment will be some color as pirate ship and ropes same colors as Lions (blue and yellow). We propose working on upgrades of lions park after that.. next year. Suggest having an independent safety inspection done on the Lions Park. Current plans are to install the week following 12 Aug .. Lion Alex to coordinate this project.

  6. Motion by Lion Roger to proceed with Casino application. We need to set up and prepare and proceed application and appoint a chairperson. Also propose Lion Lawrence as Casino Chair. and Catherine Cai to act as Casino Treasurer. Voted: all in favor. As club treasurer Lion Roger will prepare financial paperwork for same. Target date for application prep to be done by end of August.

  7. Motion by Lion Laurie-Ann to proceed with new inspection of playground equipment in old playground. Vote: all in favor. Questions: Does old fence need updates? Lighting: Alex spoke to Town Foreman Trevor Millward.. re town plans to install a light at playground.. is solar possible?

  8. Lion Roger made an motion to write letter to Town re installing more lighting at/around all our playgrounds.. Vote: all ok.

Discussed the date for next meeting/activity. No meeting in July. In August on 4th Wed we will plan a potluck/picnic at fishpond by new playground improvements (just prior to the No Cost Clothing event).

Lion Roger proposed adjournment of meeting at 8:05pm

May 2017 Minutes

24/5/2017

Magrath Lions Minutes 24 April 2017 at Magrath's Cafe by Lion Secretary Lauri-Ann White.

Members Present: Lions Shauna & Roger Davies, Laurie-Ann & Alex White, Glen and Christine Bly, Elizabeth Olsen, and guest Catherine Xia Cai. Regrets: Deanna Friday

Minutes: Posted online by Lion Roger and approved by all. Minutes are posted on the Lion’s website (here) at magrathlions.com.

Discussion Arising from the Minutes:
  • Lion Roger reported that he received notice that the 2015 Society Annual Return must be submitted by Nov 2017. Financial reports for 2015 and 2016 have been prepared and approved by Lion Roger and Tom and are presently with Lion Alex for final review and signature. Once those reports are approved, the Annual Returns can be submitted.Annual Report – needs to be reviewed and signed by Alex and Shauna prior to mailing in.
  • Lion Roger reported letter of support for Magrath Seniors grant application had been prepared. File copy of same distributed. Letter of Support for the Proposal for the Seniors Outreach Project – has been drafted and sent to the “powers that be”.
Other Business:
  • Garage Sale – 27 May – Larger items for sale will be picked up adn moved to arena by Lions Glen Bly and Roger Davies evening of Thursday 25th May from various donators. Items now stored in the Storage Unit will be transferred to the Ice Arena at that time. Any remainding items will be moved Friday morning starting at 9am. Anyone available to start setting up tables and items will be most appreciated. Start time Saturday morning is 0830 hrs, ending at noon. All remaining items not sold will be taken to Lethbridge (Value Village) Saturday afternoon. A Float ($$$) for change is requested for the Garage Sale and if anyone can provide any bags for customers.
  • Playground (Lion’s Park /Fish Pond) – Alex stated that we will get a smaller Apollo, priced $18,700 plus 6x plastic border trim. Wayne and Alex discussed how and where to attach the Apollo near the Pirate Ship at the Fish Pond. There is a quote for the gravel required coming from Wayne Quinton. We potentially picked 16/17 June (Fri or Sat) for equipment set up. There will be an authorized/qualified person from Blue Imp to assist in the set up. Alex will ask if he can be there on that Saturday. We will get volunteers to assist in the assembly plus applicable tools required.

New Business

Guest Catherine Xia Cai suggestions:
  • Suggestion that Lions Club sponsor/organize an annual  Free Yard Sale/ Free Cycle Event – possible date the same weekend as the No Cost Clothing Exchange – 25/26 August. Posters and instructions to be provided by Lions Club. Homeowners would place items on their front lawn with signs indicating what is Free to Take. This could take place Friday evening and Saturday
  • Possible Project: Free Outdoor Library Boxes – a storage item to be built/created for people to place books so that people can take and return books. This would probably need to be placed in a well-lit, secure area to prevent potential vandalism.
  • There is also a need for someone to take on the Santa’s Gone Loonie project as previous organizer has indicated she is unable to continue this annual event. Catherine suggests that maybe the Lions could help continue this project. To be discussed at future meetings.
  • New Lions Club Shirts – Christine will research and send us information concerning ordering new Lion’s shirts.
Meeting Adjourned: 7:36pm
  • Next Meeting – exact date/time tba but planning for Fri/Sat 16/17 June – 9am during the proposed Apollo Playground Equipment set up. Lunch could be arranged by Club or provided by Magrath Café (subs).

Apr 2017 Minutes

26/4/2017

Magrath Lions Minutes Wed 26 April 2017

Members Present: Shauna & Roger Davies, Laurie-Ann & Alex White, Deanna Friday, Elizabeth Olsen Regrets: Christine & Glen Bly
Minutes: Read by Deanna and approved (minor typos corrected).
Discussion Arising from the Minutes:
  • Food Drive – The Food Drive was a success. Roger sent pictures and email from the event. Received a letter from the Lethbridge Food Bank. The food bank now has big bins, so there is really no need for sorting as they do it all there. Around 4000 lbs of food, were collected - equivalent to $10,000. There were slight hiccups with food pickups at people’s houses. Roger’s white van is /was available at the Pharmacy till Friday, 28 April. Ryan Wilde collected some snack type food from our collections, for the School Lunch Program. We had less volunteers for the collection and delivery to Lethbridge, with that being said, we are most grateful of all that contributed in all forms. The actual cost of bags and flyers was $245.64.
  • Garage Sale – 27 May – Flyers need to be put up around town. Idea – rental of storage unit in town for the cost of $165/month. This removes the need of using anyone’s home for storage. Need to confirm with town soonest to confirm the use of the Ice Arena as the Venue for the Garage Sale. Advertising can be started around town as of 1 May. It was mentioned that we will not Hold items for people if it is not paid for. Timings would be set up Friday evening and start up Saturday morning between 8-8:30am. Wrapping up to finish by 1-ish. Insurance form needs to be filled in as well.
  • School Lunch/Food Program – starts in September. The Magrath Lions can start dispensing/donating $50/month as needed for the school year.
  • Playgrounds (Lion’s Park /Fish Pond) – Alex has submitted a request for a quote and delivery date for playground equipment (Rock Climbing Wall, Apollo Spinner, Dome) We have $20,000 set aside for these purchases.
New Business / Discussions
  • Signing Authority needs to be updated at the banks for the upcoming year for the Magrath Lions. Tom Spackman has the current financial paperwork, of which Alex also needs to sign for. Signing authority is as follows: Lion President Alex White; Lion Secretary Christine Bly, Lion Treasurer kept as Roger Davies and remove all others for all bank accounts.
  • Fees were paid for this year, website/domain name hosting bill is $720. Alex made a motion to accept this and Shauna 2nd it. All were in favor. Need to get more cheques from the bank, small fee. There is a $5 fee monthly for paper statements.
  • Magrath Seniors need a letter of recommended support for a grant, from New Horizons, to have the roof replaced on the Senior Center.
  • Herb McKelvey regularly donates $5 every couple of months to the Magrath Lions Club. Much gratitude.
  • Results for the Election are as follows: Alex White President, Christine Bly Secretary, Roger remains as Treasurer.
Motion to Adjourn: Shauna 1st/Roger 2nd
Next Meetings: 24 May @ 7pm / 28 Jun @ 7pm
Minutes by Lion Laurie-Ann, Club Secretary 2016-17

Items to Discuss:

  2. Garage Sale – 27 May 2017 – located at the ice arena. Possibility that we may be charged a fee for the tables. All left over items will be taken to several places. At the garage sale, it could be advertised that we will help fund the school lunch program.
  3. Food to be set aside by the volunteers for the school kids in need of food in the community. It was suggested that we possible donate money for purchase of food for the food program. Christine Bly made the 1st motion to accept. Suggested that $100/month or $900/year.
  4. AGLC – current balance sheet was faxed but due to lateness, we have been asked pay $100 late fee. Would like to use this money for the playground. Alex needs to make a proposal and fill out form and submit for approval of request. Roger and Shawna moved to have the fee paid, all members were in favor
